Role Description
This is a full-time role for a Project Coordinator, focused on supporting the central command center across the full customer life cycle at a fast-paced, growing RevOps consultancy. This person will work cross-functionally with sales, operations, and project delivery teams to ensure seamless client onboarding, project kickoff, and project close-out across more than 100 active accounts at any given time.
The Project Coordinator owns the full account setup process on the backend and serves as the internal quarterback ensuring successful handoffs from Sales to Delivery. This role is ideal for someone who thrives in high-velocity environments, excels at managing multiple concurrent workstreams, and is comfortable with the context-switching that comes with wearing many hats.
The ideal candidate has prior experience as an executive assistant, project coordinator, or project manager, and brings the professionalism and communication skills needed to interface confidently with C-Suite executives and senior leaders. They are process-driven, detail-oriented, and proactive by nature.
Key Responsibilities
Client Onboarding & Account Setup
- Own the end-to-end account setup process, ensuring all backend systems, records, and workflows are configured accurately and on time at the start of each new engagement.
- Coordinate internal kickoff activities across sales, operations, and delivery teams to facilitate smooth transitions from contract close to active project.
- Maintain standardized onboarding checklists, templates, and documentation to ensure consistency across all new accounts.
- Serve as the primary internal point of contact for onboarding logistics, proactively resolving blockers and keeping all stakeholders informed.
Sales-to-Delivery Handoff & Internal Coordination
- Quarterback the internal handoff process from Sales to Delivery, ensuring all relevant context, scope details, and client expectations are clearly documented and transferred.
- Coordinate across Revenue Architects, Solution Architects, GTM Engineers, and Senior Admins to align on project timelines, dependencies, and responsibilities.
- Track open action items and follow up proactively to keep handoffs on schedule and deliverables on track.
- Identify and surface gaps or risks in the handoff process early, recommending process improvements as needed.
Project Close-Out & Life Cycle Management
- Manage the full project close-out process, including final documentation, internal debriefs, and client-facing wrap-up communications.
- Ensure all deliverables are accounted for, project records are updated, and accounts are properly closed out in internal systems.
- Support the collection of feedback and lessons learned to drive continuous improvement across the delivery lifecycle.
- Maintain visibility across 100+ concurrent accounts, tracking status and flagging any accounts that require attention.
Stakeholder Communication & Executive Engagement
- Communicate clearly and proactively with internal senior leaders and, when appropriate, client-side C-Suite and executive stakeholders.
- Prepare and distribute status updates, project summaries, and progress reports in a polished, professional format.
- Anticipate information needs and surface relevant updates before being asked, keeping leadership informed in real time.
- Maintain a professional, composed presence in high-stakes conversations and fast-moving situations.
Process, Tools & Operational Efficiency
- Own project tracking and delivery hygiene within ClickUp, maintaining accurate records of timelines, tasks, risks, and decisions across all active accounts.
- Leverage Google Workspace, Slack, Notion, Gong, HubSpot, and other enterprise collaboration tools to stay organized and facilitate team communication.
- Identify opportunities to create efficiencies through automations, workflow improvements, and tooling enhancements.
- Establish and maintain standardized operating procedures and documentation that scale with the volume and pace of the business.
Light Project Management
- Manage a portfolio of smaller engagements—primarily focused on specific implementations—through regular weekly check-ins to ensure adherence to timelines and level-of-effort expectations.
- Serve as the client-facing point of contact for these engagements, communicating clearly and proactively on status, risks, and next steps.
- Coordinate directly with internal delivery team members to align on scope, priorities, and execution pace.
- Escalate blockers and risks early with clear context and proposed mitigation options.
Qualifications:
- 3+ years of experience in a fast-paced, high-volume environment working with senior stakeholders; prior roles as an executive assistant, project coordinator, or project manager preferred.
- Exceptional communication skills—written and verbal—with the polish and professionalism to engage confidently with C-Suite and senior leaders.
- Highly organized and detail-oriented, with a strong ability to manage multiple concurrent projects and context-switch effectively.
- Proactive, self-directed, and comfortable operating with a high degree of autonomy.
- Proficiency in Google Workspace (Docs, Sheets, Gmail, Calendar) and Slack required.
- Familiarity with ClickUp, Notion, Gong, and HubSpot strongly preferred.
- Experience building or working within automations and workflow tools is a plus.
- Comfort operating within a consulting or agency environment with evolving priorities and high client expectations.
